All shipments exported to Canada must go through a clearance process with Canada Customs. To make sure that the goods are cleared properly, Canada Customs requires some basic information.

In years past, there were specific forms that Customs required but now they are more concerned with the information that they need and not the format in which they receive it.

The goal when dealing with exporters is to keep the documentation requirements as simple as possible and avoid the use of manual forms. To this end, we suggest that the vendor use their commercial invoice, the invoice that they issue to the Canadian purchaser.

In some cases, this invoice may not include all of the information that Canada Customs will require to ensure that the goods are cleared properly.

Following is a list of the Customs’ requirements. If this information is not currently shown on the vendors commercial invoice, the required elements can be written or stamped on the invoice or, in the case of large numbers of shipments to Canada, the vendor may want to make some software changes for their Canadian shipments.

  • Vendor
  • Purchaser
  • Detailed Description of the goods
  • Number of packages in the shipment and the weight
  • Number of units
  • Unit price
  • Total price
  • Country of Origin
  • Currency of settlement (Canadian or US dollars)
  • Conditions of sale (Consignment, sale, warranty etc)
  • Importer of record (usually the purchaser, but could be the vendor, see NRI)
